Vacancy notice: Operations & Logistics Officer

Primary Purpose
The Operations & Logistics Officer will be responsible for providing logistical, operational and routine administrative functions, supporting the overall success of the operations, logistics & administrative functions.
Primary Duties & Responsibilities

Support all office and program purchasing and procurement functions, ensuring compliance with internal procurement procedures and any donor regulations.

Assist in the review of service provider contracts and perform long-term service provider analysis/evaluations where necessary.

Assist in coordinating workshops/training events as required, including liaising with Government and other partners for venues, confirmation with participants, invitations, travel arrangements and other support for participants at events.

Coordinate and provide logistical support for projects and other organisational travel arrangements, including assisting booking of flights and accommodation, and arranging for travel visas.

Supervise and monitor outsourced services such as IT, gardening, cleaning, Internet and security

Safeguard organizational resources and assets ensuring that staff members are compliant with relevant policies and procedures. This includes management of assets such as laptops and organizational vehicles.

Health and safety contact person, ensuring compliance with laid down protocols and procedures.

Assist with the implementation and roll out of the child safeguarding & protection policy. Required to work hand in hand with the Dedicated Officer to ensure all matters relating to Child Protection are reported, investigated and followed up.

Support office administrative functions.

Optimize office space and ensure adequate and functional work environment for staff members.

Ensure timely repairs and maintenance to maintain a safe and functional working space.

Work directly with the System Administrator and Finance & Operations Manager on special projects.

Any other duties as determined and assigned from time to time.
Education Requirements

Bachelor’s degree (Business Administration, Logistics, Purchasing & Procurement, Health & Safety or similar qualifications).
Work Experience
-
A minimum of two years in a similar role.

Knowledge of US Government procurement rules and regulations considered an asset.

Reporting Structure
The Operations & Logistics Officer will report directly to the Finance & Operations - Senior Manager. S/he will work cross-functionally with program teams, and will work closely with the Systems Administrator, People & Talent and Finance.
Deadline: Friday, 06 September 2024.
Time Period: 2-year fixed contract, with potential for extension pending performance.
Location: Gaborone, with limited flexibility to work remotely
